Grievance Redressal Mechanism (GRM)

Objective

To provide a clear, accessible, and fair process for addressing and resolving grievances related to workplace issues, ensuring a respectful and supportive work environment.

Scope

This policy applies to all employees of Pulsegen Technologies Pvt Ltd (Pulse), including full-time, part-time, temporary staff, and contractors.

Grievance Categories

  • Workplace Issues: Disputes or concerns related to job roles, work environment, or interpersonal relationships.
  • Harassment and Discrimination: Any form of harassment, discrimination, or violation of company policies.
  • Safety Concerns: Issues related to workplace safety and health.
  • Policy Violations: Concerns about violations of company policies or unethical behaviour.

Grievance Submission Process

Initial Reporting

Employees should first attempt to resolve grievances through informal discussions with their immediate supervisor or manager.

If the issue is not resolved or if the employee is uncomfortable approaching their manager, they can submit a formal grievance.

Formal Grievance Submission

Submit a written grievance to the HR department or designated grievance officer. Include detailed information about the issue, any supporting evidence, and the desired resolution.

Use the official grievance form available on the company intranet or HR office.

Acknowledgment

HR or the grievance officer will acknowledge receipt of the grievance within 3 business days.

Grievance Review and Investigation

Initial Review

HR or the grievance officer will conduct an initial review to determine the seriousness and validity of the grievance.

Investigation

An impartial investigation will be conducted by HR or a designated committee, ensuring confidentiality and fairness.

The investigation may involve interviewing the complainant, the accused, and any witnesses.

Resolution

Based on the findings, a resolution will be proposed. This may include disciplinary action, policy changes, or other measures.

The resolution will be communicated to the complainant and relevant parties within 15 business days of the initial review.

Appeal Process

If the complainant is dissatisfied with the resolution, they can appeal to a higher authority within the organisation, such as the senior management team.

The appeal should be submitted within 7 business days of receiving the resolution.

Confidentiality

All grievances and investigations will be handled with the utmost confidentiality to protect the privacy of all parties involved.

Non-Retaliation

Pulse strictly prohibits retaliation against any employee for filing a grievance or participating in an investigation.

Review and Update

This policy will be reviewed annually and updated as necessary to ensure its effectiveness and compliance with legal requirements.
